Glossary / Internal tool

What is an internal tool?

An internal tool is software a company makes for its own team rather than for customers, such as an admin panel, an approval workflow, an inventory tracker or a support dashboard.

Most businesses run on a mix of spreadsheets, email threads and copy-paste. An internal tool replaces one of those habits with a simple app that fits exactly how the team works.

They rarely need beautiful design. They need to be correct, quick to use, and limited to the right people, so a warehouse worker sees stock levels while a manager can also approve orders.

Because they serve a small group and change often, internal tools are a good fit for AI app builders: you can build a version, watch the team use it, and adjust it the same week.

Examples

  • A leave request and approval app
  • A stock tracker for a warehouse
  • A dashboard of daily sales

Questions

Should I build or buy an internal tool?

Buy when an existing product fits your process well. Build when your process is specific, the off-the-shelf tool is expensive per seat, or you only need a small part of it.

Who should be able to use an internal tool?

Only your team, behind a login, with roles so each person sees and changes only what their job needs.
