Build the rota from site requirements

Start with what each site needs, not who is free. A construction site might need one officer 6 p.m. to 6 a.m. weekdays and 24 hours at weekends; an office needs a day guard and a mobile patrol at 2 a.m. Enter each pattern once and the app creates the shifts. Unfilled shifts are listed in red, so the gaps are obvious before the week starts.

Only the right officer for the site

Officers can only cover sites where they have been inducted and know the alarm codes and patrol routes. Record inductions per officer, licence expiry dates and any site-specific requirement such as first aid. The rota offers each shift only to officers who qualify, and blocks anyone whose licence has lapsed.

Rest periods and overtime

Long runs of night shifts and overtime cause fatigue and mistakes. Ask the app to check the minimum rest between shifts and the maximum weekly hours you set, and to show overtime per officer each week. Rising overtime across the team is often the first sign you need to recruit before a contract suffers.

Mistakes to avoid
