Eight reformers, eleven people who want them

A reformer class has a hard cap: the number of beds. The 7am and 6pm classes fill first and carry waitlists, while mid-afternoon struggles. Clients buy packs of five or ten or a monthly membership, and January and September bring a wave of beginners who must do an intro before joining a mixed class. When waitlists run on messages, a 6am cancellation goes unfilled because nobody sees it. When credits live in a spreadsheet, there are arguments about expiry dates. A Pilates studio needs booking that enforces capacity, deducts and refunds credits by the rules, and keeps injury and pregnancy notes in front of the instructor.

Class booking that never oversells a reformer

Each class has its bed count as a hard limit. When someone cancels, the next person on the waitlist is offered the spot with a short time to accept. Credits are deducted on booking and refunded only within your cancellation window, and beginners can book advanced classes only after their intro.

Enter each client's remaining credits and expiry date from your current sheet, then switch booking on for one week of the timetable before the rest. Tell clients the cancellation window in the confirmation, and let the waitlist run itself. Most studios find the early-morning spots fill on their own once the app offers them automatically.

Health notes
