Stock Book, Online Shop and Collector List for an Antique Dealer

With Mythex an antique shop can build a stock book where every piece has a number, provenance and purchase price, a website and shop where items sell once and are marked sold everywhere you control, and a list of collectors' wants to check when you buy. Describe how you deal, see it in a live preview, and publish it with a real database.

Selling one-of-a-kind stock across several channels

A dealer's stock is all singles. The Georgian sideboard is listed in the shop, on a marketplace and in the photos you took to last month's fair, and if two people want it on the same day it can sell twice. Provenance sits in a ring binder, the cost price in a notebook, the ask on a handwritten ticket. Buying matters as much as selling: house clearances, auction lots and people walking in with grandmother's clock. What helps is one record per piece holding where it came from, what you paid, where it is right now, and every place it is listed, plus a list of who collects what.

  • A stock number, provenance, purchase price and asking price per item
  • Location: shop floor, storage, restorer or fair
  • Every channel an item is listed on, to withdraw it when sold
  • Collectors tagged by maker, period or category
  • Seller enquiries with photos of marks and damage
  • Margin and days-to-sell by category

What you can build for antique shops

A stock book that ends the double sale

Each piece gets a stock number on arrival, written on a discreet label, with its source, purchase date and price, provenance notes, receipts and photos. A location field says whether it is on the floor, in storage, with the restorer or packed for a fair, and a channel list shows every place it is advertised. Mark it sold and you see exactly where to take it down.

Build an inventory app for my antique shop. Each item has a stock number, description, period, maker, provenance notes, source, purchase price and date, asking price, photos and receipts, a location (shop, storage, restorer, fair) and a list of channels it is listed on. When I mark it sold, show the channels I still need to update.

An online shop where every listing is quantity one

Pieces disappear from sale the moment they are bought. Each listing has measurements, period, condition and restoration notes and several photos. Delivery is quoted per item, because a longcase clock and a brooch ship very differently, and large furniture can be reserved to view so it comes off sale while the buyer arranges the trip.

Create an online store for antiques where each item is unique and is removed from sale once bought. Show dimensions, period, condition report and restoration notes with several photos, a delivery price per item, and a reserve-to-view option for furniture that holds the piece for 72 hours. Payments go through my own payment provider.

Wants lists you check before the piece reaches the floor

Serious collectors are tagged with what they hunt: a maker, a period, a pattern, a category. When a piece comes in, search the tags and phone the right person first. Sellers and clearance contacts are kept apart from buyers, trade dealers carry their specialism and terms, and each collector's record shows what they have already bought from you.

Make a CRM for an antique dealer. Collectors have wants lists tagged by maker, period and category, plus their purchase history. Keep sellers, clearance contacts and trade dealers as separate types. When I add a new stock item, list the collectors whose tags match it.

A we-buy page that screens clearances by photo

A house clearance or we-buy page asks for the address, the rooms involved and photos, including makers' marks and any damage. From the pictures you can decide whether the drive is worth it. A second page for a fair can list the pieces you are bringing and collect sign-ups for new stock alerts by category.

Build a landing page for my antique shop's house clearance and buying service. The form asks for the address, which rooms, a description and photo uploads of marks and damage, and saves everything to a list I can review. Add a signup for new stock alerts by category.

Which categories turn and which fairs pay

Margin per item from cost to sale, days each category sits before selling, takings split between shop, fairs and online, and the cash tied up in unsold stock. Tag sales with the fair they happened at and compare each fair's takings against stand fee and travel.

Make a dashboard for my antique shop showing margin per item, average days to sell by category, sales by channel (shop, fair, online), each fair's takings against its costs, and total cost value of unsold stock.

Describe only what you know

Descriptions on listings and invoices are your record of what you claimed. If a buyer later questions the age or the maker, the invoice is what counts, so write "in the manner of" when that is what you mean and keep condition notes honest. Ask Mythex to put period, maker, condition as sold and any restoration on every invoice. Some countries have special tax schemes for second-hand goods and antiques; check what applies where you trade and ask for the invoice fields that scheme needs.

What to enter first

Do not try to photograph the whole shop on day one. Start with the stock book and enter the pieces worth more than a set amount, plus anything listed online, since those are the ones that can sell twice. Give each a stock number and its channels. Add the smaller stock as it comes in, and build the online shop on top of the same records once the data is there.

  • Higher-value and online-listed pieces first
  • Stock number labels on everything new
  • Shop and website read from the same records

Questions

How do I stop a piece selling online after it sold in the shop?

Mark it sold in the admin area and it comes off your Mythex site and shop immediately. Listings on outside marketplaces still need updating there, so the app shows you which channels the piece was on.

Can I record provenance and documents for each item?

Yes. Each item can hold provenance notes, the source and purchase details, and uploaded files such as receipts, certificates or old photos, stored in your project's file storage.

Should I show prices on my antique website?

Many dealers show prices on smaller items and use price on request for major pieces. Mythex can do either per item, and you can change your mind later by asking in chat.

Do I need to know how to code?

No. You describe what you want in plain words and Mythex builds it. You change the layout, fields or wording the same way.

Is it free?

Building and publishing costs nothing on the Free plan, which runs on daily credits and asks for no card. Pro is $25/month and adds a custom domain, more credits, code editing and export.
