Plan per service, staff per station

A daily shift does not describe a restaurant. Ask for shifts attached to a service (lunch, dinner or a split covering both) and a station. Record which stations each person can work, so the app only offers a grill shift to someone who has run the grill. Front of house and kitchen can sit on one grid or two, whichever matches how your managers work.

Let covers decide headcount

Show booked covers for each service beside the rota. A Thursday dinner with 40 booked needs a different team from one with 110. Some managers set a simple rule, such as one server per 25 covers, and let the app flag services that are short or heavy before the rota goes out.

Publish a week ahead, then hold it

Hospitality staff often study or work a second job. A rota published late, or changed every other day, is a common reason good people leave. Ask for a publish step, a notification when it goes live, and a log of changes made afterwards so you can see how often the plan moves.

Mistakes to avoid

Do not let swaps happen without approval; a swap that leaves no one on pastry is found out at 7 p.m. Do not forget breaks on long split shifts where local rules require them. And record availability properly instead of remembering who said they cannot do Sundays.
