Law Firm Software You Describe: Intake, Conflict Checks, Client Portals and Matter Dashboards

Mythex lets a small law firm build the tools around its case management system: a website with practice pages written for clients' problems, consultation booking that waits for a conflict check, a client portal organised by matter, and a dashboard of open matters, key dates and unbilled work. You describe your practice in chat, check the live preview and publish with logins and a real database.

Where small firms lose time

A law firm runs on matters rather than customers. Each matter has a responsible lawyer, a fee arrangement, deadlines set by a court or the other side, and a file that grows through email attachments. Intake is where risk starts: an enquiry needs a conflict check against every party the firm has ever acted for or against before anyone gives advice. Then the matter itself turns into long email threads, with drafts going back and forth and clients phoning to ask what is happening. Many firms have time recording software but still take enquiries by phone and keep key dates in personal calendars. The gaps are intake and document exchange.

  • Enquiry forms that collect the other party's name for a conflict check
  • Consultations held as pending until the check clears
  • Availability per fee earner and practice area
  • One client area per matter for documents and dates
  • Internal notes that never reach the client view
  • Unbilled work and key dates visible across the firm

What you can build for law firms

Practice pages written for the client's situation

Each practice area describes three or four real situations in plain words, such as a landlord keeping a deposit or a shareholder leaving a company, and says what the first step costs. Lawyer profiles list areas and admissions. The enquiry form asks for the other party's name and states that submitting it does not create a lawyer-client relationship.

Build a website for my law firm with practice pages for employment, property disputes and company law, each describing common client situations in plain language and our fixed-fee first consultation. Add lawyer profiles with areas and admissions, and an enquiry form asking for the other party's name and any deadline, with a notice that it does not create a client relationship.

Consultation booking that waits for the conflict check

Clients choose a free triage call or a paid first meeting with a lawyer in the right practice area. The slot is held as requested, the intake answers go to the conflict check, and only then is the booking confirmed with a payment link if one is needed.

Create a consultation booking system for my law firm. Clients choose a 15-minute free call or a 1-hour paid consultation, pick a practice area and a lawyer in it, and enter matter type and the other party's name. Bookings stay pending until staff mark the conflict check clear, then the client gets a confirmation with a payment link.

A client portal organised by matter

One client can have a house purchase and a dispute running at once, so each matter gets its own area: the current stage, the next expected step, key dates, and a document exchange for drafts and signed copies. Staff notes stay internal.

Build a client portal for my law firm. Each client sees their matters separately, with current stage, next step, key dates (completion, filing, hearing) and a document exchange for drafts and signed copies. Staff notes on a matter are never shown to the client.

Every party recorded, so conflict searches work

Contacts link to matters with roles: client, opposing party, counsel, witness. A conflict search runs across every name ever recorded, including companies and former parties. Each matter carries its type, fee arrangement, responsible lawyer and referral source.

Make a CRM for my law firm. Contacts are linked to matters with a role (client, opposing party, other side's lawyer, witness). Add a conflict search across all names and companies ever recorded. Each matter has type, fee arrangement, responsible lawyer and referral source, with a report of matters per referrer.

Open matters, key dates and unbilled work in one view

See open matters by fee earner and stage, key dates in the next few weeks across the firm, unbilled work and aged invoices per matter, and enquiries per practice area against instructions won.

Build a dashboard for my law firm showing open matters by lawyer and stage, all key dates in the next 30 days, unbilled work and invoices over 60 days per matter, and enquiries versus new instructions by practice area this quarter.

One page per narrow matter type

A page for uncontested divorce or settlement agreement reviews, with its own fee basis, a named lawyer and a short form that asks whether a hearing date or limitation deadline is already running.

Create a landing page for settlement agreement reviews at my firm. State the fixed fee and that the employer often contributes, show the lawyer who handles them with a photo, and add a short form asking for the employer's name and the deadline to sign.

Confidentiality and professional rules

Legal files are confidential and often privileged. Ask for logins, per-matter access checks, private file storage and staff roles so each client sees only their own matters and junior staff see only what they work on. Mythex builds these controls into the app. Your professional conduct rules, client money rules and data protection law still apply, and you should check advertising rules before publishing testimonials or outcomes.

Start at intake

Intake is the cheapest place to begin and the one with the most risk. Put the enquiry form and consultation booking live with the conflict check step, and record every party on every new enquiry from day one. Add the client portal next for a handful of active matters with the longest email threads, then the dashboard once matters and dates are in the system.

  • Enquiry form and booking with conflict step
  • Every party recorded from the first enquiry
  • Portal for the noisiest matters first

Questions

Can the system run a conflict check?

Yes. Ask for a search across every name and company recorded on any matter, in any role. The check is only as complete as the names you record, so capture opposing parties from the first enquiry.

Can clients upload and sign documents?

Clients can upload and download files in their matter area, which replaces long email threads. For legally binding e-signatures, connect a signature provider you choose.

Will it replace our case management system?

It does not have to. Many firms keep their time recording and accounts system and build intake, the client portal and dashboards around it. If your system exports data, you can import it.

Is it secure enough for client files?

Ask for logins, per-matter permissions and private storage, and each client sees only their own matters. Mythex does not claim certifications such as SOC 2, so check the rules that apply to your practice.

Do I need a developer?

No. You describe what you need in plain language and Mythex builds it. On Pro at $25/month you can edit the code, export it or connect GitHub if someone technical helps later.
